To sign up, visit refer.clinnect.ca/register.

Every user needs an account, so each referring provider and MOA will need to register. Once you create an account, you can create a practice for yourself or the referring provider you represent.  You can then invite your MOA or the doctor the practice is for to the practice. Once you have a practice, you can start sending referrals!

Alternatively, if one member of your practice has an account, they can invite you to join the practice. When you are invited to a practice, if you do not have an account, you will be emailed a link to create an account.

Important: Before you can receive referrals, our staff must verify your practice. When you create a specialist practice, our team is notified, and will verify your practice within 1 business day. You can check your verification status at any time under “Settings > Practices”

No, you cannot sign someone else up. Each user must create their own account with their own password.

Data and Security

Clinnect was built on the principles of privacy by design, which means we have taken every effort to ensure your data is protected. 

As a new company, we were able to build Clinnect with security at the forefront, creating the security architecture before we even began building the rest of the application. This differs from those legacy softwares that have tried to add security measures on top of an existing application.   

Clinnect uses end-to-end encryption that does not even allow Clinnect staff to access referral patient information. 

Without getting too technical, here is a metaphor to understand our process. The software we have developed is similar to a lock which has two keys. With one key, you can lock it, and with another key you can unlock it. We put sensitive patient data in a virtual box, and when someone refers to you through Clinnect they “lock” that box. The only people who can “unlock” that box is you and your staff. This gives you full confidence in your data security — not even our company’s technical staff can access patient data.

In regards to patient referrals, these attachments are not viewable by anyone at Clinnect due to an end-to-end encryption process that we believe is necessary and forward-thinking. The patient data is only for the referring provider and the receiving specialist, or the approved staff at each practice.
 
Each user has a dashboard with a data list. This information is the user’s and will not be shared, rented or sold, with very limited exceptions or including your permission. Refer to our Terms of Use for further clarification if needed.
 
We built Clinnect on the belief that patients and their providers should be in charge of their data, we did not build Clinnect to glean and sell data.

Practice Management

To add someone to your practice visit “Settings > Practices“. Select the practice you wish to add a member to. Click “Invite Members” (located beside the “Members” heading).  The “Add Members” form will appear. Fill out this form to invite members to your practice.

To delete someone from your practice visit “Settings > Practices“. Select the practice you wish to delete a member from. Under “Members” hover over the email of the user you wish to remove. Click the “x” that appears to the right of their email.

Currently, there is no limit on the number of people who can be in a single practice. However, this is for a limited time only.

If you delete your practice, no one in your practice will have access to any sent or received referrals. This action is permanent and cannot be undone. If you are looking to temporarily pause your practice, please get in touch with our staff to discuss other options.

For Specialists

If you are a specialist whose specialty is not onboarded to Clinnect or who does not want to receive referrals through Clinnect, you can create a Primary Care Provider practice. This practice will allow you to send referrals and will not allow you to receive referrals.

No! However, there are benefits to having your whole group on Clinnect, including: 

  • You can easily balance referral types across your group
  • You can easily understand referral demand data across your group

 

Colleagues not on Clinnect may find they are missing out on referrals from primary care providers. 

To create a new category or subcategory for your specialty, please fill out the contact form here with the subject “Request: New category/subcategory“.

If you need to pause referrals for an extended period of time please fill out the contact form here with the subject “Request: Pause my referrals“. Our staff is able to update our database and halt referrals for you. This will incur a one time charge.

When you receive a referral, you have the ability to update both the urgency and the category of the referral. Any changes you make will be shown to the referring provider on this referral in their Clinnect referral history.

On Clinnect, visit the Received page and click on an individual referral. You will see a “Change Category” button in the “Specialist Info” section. Click this, update the category, and click “Save”. To change the urgency, choose a new urgency from the urgency dropdown and click “Save Changes”.

When you receive a referral, you are given the option to accept or reject the referral. If a referral is incorrectly categorized and you do not receive referrals in the true category, reject the referral. This rejection is communicated back to the referring provider.

When you reject a referral, you will be prompted for a reason. If the category was wrong and the specialty was right, select “Wrong category – specialist does not do correct category”. If the category and specialty were wrong, select “Wrong specialty”. To help inform the referring provider, it is recommended that you add a note to the description box indicating the correct category/specialty.

This information will be sent back to the referring provider, helping them make an informed decision about what steps are necessary for the referral. 

In the future, we plan to add a forwarding feature to Clinnect. However, this is not yet developed.

Instead, we recommend you reject the referral, selecting the reason “Send to another specialist”, and indicate in the description box which specialist the patient should be referred to.

This will be communicated back to the referring provider and allow them to send the patient to the correct specialist.

Billing and Subscription

Clinnect is free until January 1st, 2021! After January 1st, 2021 we will be moving to a monthly subscription model:

  • $25/month incl. tax – Referring Provider practice 
  • $55/month incl. tax – Specialist practice

How Clinnect Works

When you select “Choose for me” on the referral form, our system selects a specialist for you. The specialist is selected from those who receive referrals in the chosen specialty, category, subcategory, and region. Given this set of specialists, the current referral is sent to the specialist who has received the least number of referrals in that category/subcategory. By doing this with each referral, we are able to balance referrals across all the specialists who receive referrals in that category/subcategory for each region. 

This is a step toward levelling waitlists, while also providing specialists with balanced practices.

EMR Integration

At this time Clinnect is a stand alone software that does not “talk” to your EMR. To upload and download files from your EMR to Clinnect check out the simple steps in the answers below. We are currently working on a project to help us integrate with EMRs and hope to include that as a future feature, stay tuned!

To upload a file to Clinnect, you need to download the file from your EMR to your computer. You can then add this file to your Clinnect referral.

Please be cautious about where you are downloading files to on your computer. It is highly recommended to delete all downloaded files from your computer once you have sent your referral.

First, download the file from Clinnect by clicking on the name of the file you wish to download (on the received referral). Please be cautious about where you are downloading these files to on your computer. It is highly recommended to delete all downloaded files from your computer once you have uploaded them to your EMR. 

To upload a file to your EMR, you can generally follow the same process you use to upload scans or documents to your EMR. 

For MedAccess you can simply upload the file to your EMR.

For Accuro:

  • In an office, there is a main computer, which will have a ReadyForAccuro folder on it (this is the folder that scans and faxes go to). 
  • When a file is saved to the ReadyForAccuro folder, you can then access that file in the Documents area of Accuro. Save your files downloaded from Clinnect to here.

Clinnect was created to function on Google Chrome and has only been tested using Chrome. We DO NOT recommend using a browser other than Chrome. To install Chrome on your computer visit Download & Install Google Chrome.
